Trauma Risk Management (TRiM) Policy

POLICY STATEMENT

DARKSWAN is committed to providing a safe and supportive environment for all our employees, clients, and stakeholders. We recognise that some of our activities, events, or discussions could inadvertently trigger distressing memories or reactions related to past trauma. Our Trauma Risk Management (TRiM) policy is designed to address these instances promptly and sensitively, ensuring that support is available for anyone affected.


OBJECTIVES

  • To prevent and mitigate the impact of traumatic incidents resulting from DARKSWAN activities.
  • To provide immediate and effective support to those experiencing trauma reactions.
  • To ensure that all staff are aware of and sensitive to trauma triggers and their potential impacts.


SCOPE

This policy applies to all employees, clients, and stakeholders participating in any DARKSWAN activities, including business-to-business (B2B) engagements and programmes and courses for individuals.

ROLES AND RESPONSIBILITIES

  • TRiM Practitioners: Staff trained in Trauma Risk Management who are the initial responders to manage the situation and support the individual experiencing trauma.
  • HR Department: Responsible for documenting incidents and coordinating further support, including signposting to relevant mental health and trauma support charities.
  • All Employees: Required to participate in awareness training to recognise potential trauma triggers and respond appropriately under the TRiM framework.


CLIENT ONBOARDING AND MONITORING

During the onboarding process, we will sensitively ask clients if there are specific topics, activities, or environments they wish to avoid due to past negative experiences. Throughout our programme delivery, we will monitor for signs that a traumatic memory may have been triggered, ensuring that we can respond swiftly and appropriately.

RESPONSE AND SUPPORT

  • Immediate Response: A TRiM Practitioner will be called upon to assess the situation and provide initial support to the affected individual.
  • Documentation and Follow-Up: The incident will be documented confidentially, and the relevant HR point of contact will be informed. They will ensure that the individual is signposted to professional support or relevant charities that offer specialised assistance for trauma and mental health issues.
  • Ongoing Monitoring: We will continue to monitor the well-being of the affected individual to provide additional support as needed.


TRAINING

All employees will receive training on recognising and responding to trauma triggers. This training will be conducted by qualified TRiM Practitioners and will include strategies for maintaining a supportive environment and minimising the risk of trauma.

Collaboration with Businesses When working with other businesses, DARKSWAN will communicate and collaborate closely to ensure that both parties understand and adopt the best practices for trauma risk management. This collaboration aims to create a mutually supportive environment, enhancing the safety and well-being of all participants.

Communication Details of the TRiM policy will be communicated to all employees, clients, and stakeholders through the appropriate channels to ensure that everyone is aware of the support available and the procedures in place.

Review and Improvement This policy will be reviewed annually to ensure its effectiveness and relevance. Adjustments will be made based on feedback from employees, clients, and ongoing developments in trauma support methodologies.
